Start your daybook
Start with the details you know. An event can be useful before its client, schedule or fee is complete.
- Choose Add Event and enter the name and dates. Each event has at most one client; leave the client blank if it is not yet known.
- Add the client, role, work arrangement, location and event timezone as they are confirmed.
- Add sessions with their start, end and call times. You can keep an incomplete schedule and return to it later.
- Record the fee when you know it, then use Payments to track invoices and payments.
Booking status, session schedule confirmation, coverage, invoicing and payment are separate. Booking an event does not automatically confirm every session or mark an invoice paid.
You can enter work offline and use Cuekeeper without connecting Calendar. iCloud sync, maps, weather and cloud backups require connectivity. Cuekeeper requires iOS or iPadOS 27; automatic receipt extraction also needs a compatible device with Apple Intelligence available.
Back to topRecords haven’t arrived on another device
A completed transfer on one device does not guarantee that another device has received every change.
- Check that both devices use the intended Apple Account and have iCloud available.
- Connect both devices to the internet and open Cuekeeper on each.
- On each device, open Settings → Storage & iCloud. Check any error message and expand iCloud details for the latest observed activity.
- If the issue persists, contact support with the exact error and which device holds the missing changes.
Do not delete or reinstall Cuekeeper to troubleshoot unsynced work. Keep the device with the original records intact. Sync is not a backup.
Back to topConnect or troubleshoot Calendar
Cuekeeper publishes event placeholders and eligible confirmed, covering sessions to a calendar you choose. One designated device is responsible for publishing.
- Open Settings → Integrations → Calendar on the device you want to publish from.
- Allow full Calendar access when requested, then choose a writable calendar.
- For updates, open Cuekeeper on that device while connected to the internet. Allow changes from your other devices to arrive.
- If a session is missing, check its schedule confirmation and coverage. Incomplete or ineligible sessions do not publish as timed entries.
To transfer publishing, disconnect Calendar on the previous device before connecting on the new one. If the old device is unavailable or ownership cannot be established, contact support rather than deleting calendar data.
Event placeholders remain alongside eligible session entries. Cuekeeper updates its own entries; do not remove unrelated calendar events to troubleshoot. Your selected calendar’s provider and sharing settings apply to published information.
Back to topKeep event and local times straight
Sessions use their event’s timezone. For remote or hybrid work, set Your timezone to see an additional local-time display; on-site work uses the event timezone.
Changing an event timezone preserves the saved start, end and call instants, so their displayed clock times can change. Copying sessions between events preserves local clock times in the destination event timezone and rejects nonexistent daylight-saving times.
If a time looks wrong, check the event timezone and work arrangement before changing the session. Review the resulting dates as well, especially around midnight or daylight-saving changes.
Back to topBack up and recover your work
Backups are separate, manual copies of your daybook. Save them in your private iCloud storage or export a ZIP file to Files. Each copy includes events, sessions, clients, links, financial history, expenses and receipt photos already on this device. Calendar connections and device preferences are not included.
Receipt images are stored as separate files inside the ZIP alongside your record details. Keep the ZIP intact when moving it between devices. You do not need to unzip it to restore.
- Open Settings → Recovery & backups → Backups.
- For iCloud, choose Back Up Now and wait for the saved confirmation. For a file copy, choose Export Backup, then choose a destination in the system file picker. If sync is still delivering changes, those changes may not yet be included.
- To recover an iCloud copy, choose Restore beside it. To recover a file, choose Import Backup and select the Cuekeeper ZIP. Import from Files is also available during first-launch recovery. Download a file in Files first if its storage provider cannot open it.
- Wait while Cuekeeper checks the records and receipt files, then review and confirm Restore Backup. Restore adds missing records and recovers deleted records without replacing newer edits or payments.
- For a recently deleted event or session, use Recently Deleted. Restore the parent event before an independently deleted session when needed.
Keep Cuekeeper open until the operation finishes. Preparation and checking show progress; iCloud transfers show a waiting indicator. Cancel is available during preparation and reading, but not while a restore is being saved or an iCloud backup is being committed.
Each archive is limited to 512 MB, including up to 32 MB of record details and 200,000 records. Keep up to 50 iCloud copies. You also need free device storage for temporary copies, unpacked images and restored records. If you reach a limit, contact support; do not delete financial history just to make space.
If a backup is missing files, damaged or unsupported, Cuekeeper rejects it before restoring. Keep another known-good copy and try again; do not edit files inside the ZIP.
Recently Deleted normally offers recovery for 30 days. Restored records sync to your other devices and can return to a connected calendar. Deleting an iCloud backup does not delete your current daybook or exported files. Remove exported copies separately from wherever you saved them.
Exported ZIP files are not encrypted. They contain personal and financial records and receipt images. Save them somewhere you trust and do not send a whole backup to support. Ending recovery is not secure erasure; see the privacy policy for retention details.
Back to topScan, review and save a receipt
Expenses stay attached to an event and do not change its fees, invoices or payments. Scan one page per expense.
- Open an event → Expenses → Scan Receipt. Use the camera, or cancel the camera to choose photo import.
- Review the merchant, date, total, currency, included tax and category. Treat extracted fields as suggestions and correct them against the receipt.
- Save when the required fields and event are correct. Choose Keep Draft if you need to finish later.
- Reopen a saved expense to review its photo or edit its details. For an unreadable image, scan or import a replacement.
Automatic extraction uses Vision and Apple’s on-device Foundation Models. It needs Apple Intelligence to be enabled on compatible hardware, with its model available. If a receipt is too long for the on-device model, its recognized text (not the photo) is sent to Apple Private Cloud Compute, which needs an internet connection; Cuekeeper tells you when this happens. If the model is unavailable, downloading or produces an error, enter the fields manually.
Receipt images are preserved as drafts before extraction. An interruption can still lose form edits made since the last save. Use Keep Draft before leaving incomplete work.
Expenses support positive totals in USD, EUR, GBP, CAD, AUD, NZD and CHF. Cuekeeper does not split receipts, convert currencies or calculate tax. For the Action Button, assign the Scan Receipt shortcut; it opens event selection and capture.
Back to topCapture Wallet expense drafts
A personal automation in Shortcuts can pass available transaction fields to Cuekeeper after a Wallet card tap. This is not a feed of every card charge, and Cuekeeper does not independently read Wallet or banking history.
- Open Shortcuts → Automation → +. Choose Transaction or Wallet, then select the cards under When I tap. Labels and available fields vary by system version.
- Choose Run Immediately, then Next. Create a blank automation and add Cuekeeper → Capture Expense.
- Map Merchant, Amount, Currency and Transaction date from matching Shortcut Input properties where available. Leave missing fields blank. Amount should be a number; currency should be a code such as USD or EUR.
- If a stable Transaction ID is supplied, map it too. Otherwise leave it blank; do not substitute an amount or merchant name.
- Save the automation. Check your next captured draft in Upcoming or Payments → Expenses to complete. Attach its receipt, choose an active event and review the fields before saving.
Your phone may need to be unlocked for the action to access saved data. Equal merchant names, dates and amounts are not sufficient evidence of a duplicate, so captures without stable IDs remain separate. Independently captured duplicates on offline devices are not globally deduplicated.
Receipt extraction fills missing fields and lets you review differences from captured payment evidence. Remove personal or duplicate drafts using the confirmation in the draft list.
For reminders, open Settings → Integrations → Wallet Automation. Completion reminders are optional local notifications. Permission denial or Focus can silence them; the draft remains available in the app. Use Scan Receipt, rather than Capture Expense, for the foreground Action Button flow.
Back to topKeep widgets up to date
Add a Cuekeeper widget through your device’s Home or Lock Screen widget picker. Open Cuekeeper to write a fresh schedule snapshot after your latest changes arrive.
Widgets do not independently sync iCloud. They show the last snapshot from the app, and the system controls refresh timing. A change on another device may not appear immediately.
If a widget looks out of date, open the app, check the schedule and iCloud status, then return to the widget. Check your system privacy settings if you do not want event or client names visible on the Lock Screen.
Back to topUnderstand invoices and payments
An unknown fee is different from a fee of zero. A quantity/rate breakdown does not replace the overall fee until you choose Use Breakdown Total.
Invoices can group events for the same client and currency. Invoice line amounts are snapshots; later fee edits do not change an existing invoice’s lines. Partial receipts reduce the grouped invoice balance rather than assigning payment to an individual event.
Cuekeeper keeps balances separate by currency. It tracks invoices and payments but does not generate or send invoice documents, connect to banking, calculate tax or convert currencies.
If you see conflicting financial revisions after sync, review and resolve them explicitly. Do not enter a second payment merely because another device has not yet received the first.
Back to topPrivacy and removing data
Your daybook is stored locally and syncs through your private iCloud database when available. Receipt-field extraction runs on-device, except that the recognized text of a receipt too long for the on-device model is sent to Apple Private Cloud Compute; saved receipt photos can still sync through iCloud and be included in backups.
Removing an item from Recently Deleted ends recovery, but is not secure erasure of the retained record. Deleting the app does not by itself delete private iCloud records or separate backups. Cuekeeper currently has no in-app command to erase all local and cloud data.
Read the privacy policy for processing and retention details. Contact support before attempting to remove all data you may need. The developer cannot access or erase your private iCloud daybook on your behalf.
Back to topStill need a hand?
Email cuekeeper@arjunakankipati.com. Include your Cuekeeper version and build from Settings → About, device model, iOS/iPadOS version, what you expected, and the steps that led to the problem.
Redact personal details from screenshots. Never send an Apple Account password, verification code or an entire daybook backup. Please avoid sending receipts and financial information unless they are necessary to explain the issue.
